This is the privacy policy for CalmHQ Studio ("the studio", "we", "I"), operated by a sole trader based in the United Kingdom. It explains, in plain English, what data this website and its associated services collect, why, and what your rights are.

Who runs this
CalmHQ Studio is a one-person independent studio. There's no team, no data team, no third-party trackers built on top of the data. Anything described below is collected and handled directly by the founder.
What gets collected
This website only collects what's needed for the features you actually use. Specifically:
- Newsletter signup — your email address, the timestamp of signup, and the source page.
- Topic suggestions — the suggestion text, optional email (if you choose to leave one for a reply), and a timestamp.
- Contact form — your name (optional), email address, subject (optional), message, and a timestamp.
- Basic request data — your IP address and user-agent string are stored alongside form submissions for spam-prevention purposes. They're not used for profiling.
We do not use analytics cookies, marketing pixels, or fingerprinting.
Why it gets collected
Each piece of data has one purpose:
- Email addresses are used only to reply to you, or to send the
newsletter you signed up for. They're never sold, never traded, never sent to a third party for marketing.
- Form contents are used to answer your question, log your
suggestion, or improve what the studio publishes.
- IP and user-agent are kept to protect against abuse — spam,
automated submissions, and so on.
Where it lives
Data submitted through forms is stored in Google Cloud Firestore (Google's managed database service, regions in the EU/UK where available). Emails sent from the studio are delivered through Resend. Both are GDPR-compliant subprocessors.
The studio account uses standard 2FA, and admin access to data is restricted to the founder.
How long it's kept
- Newsletter signups are kept until you unsubscribe.
- Topic suggestions and contact messages are kept indefinitely as part of the studio's working archive, unless you ask for them to be deleted.
- IP and user-agent records are pruned after 12 months.
Your rights (UK GDPR)
You have the right to:
- Ask what data the studio holds about you.
- Ask for it to be corrected.
- Ask for it to be deleted.
- Withdraw consent for the newsletter at any time (one-click unsubscribe).
- Lodge a complaint with the Information Commissioner's Office.
To exercise any of these, email hello@calmhqstudio.com. Requests are handled within 30 days.

This site uses no analytics or marketing cookies. Anything cookie-related is either strictly necessary (security/session) or non-existent. See the Cookie policy for the full breakdown.
Changes
If this policy materially changes, the "last updated" date at the top of the page will change too. For significant changes, anyone on the newsletter will be notified directly.
